Electronic document workflow
Document workflow can be divided set of all into two kinds conditionally: paper and electronic document workflow.
In what is their difference? Why paper document workflow becomes all less effective in modern conditions? What possibilities are offered by electronic document workflow?
As easy to guess both kinds of document workflow differ, first of all, by the carrier. In the first case documents have paper form, in the second – electronic (digital) one. The nature of the carriers influences practically all parties connected with the exchange and the flows of documents. For example, paper documents are volume enough, and therefore demand the big place for keeping and the maintenance. Naturally that besides a place, they include folders in which documents are stored, bookcases and many other things. You can image how much it costs to create and keep such documents.
As known, a paper is an unreliable material. It can easily be teared, rumpled, soiled. You can image what losses be incurred by the organization if something unpleasant happens with an important document (for example, the copy of the contract with the important supplier). This includes potential financial, judicial, administrative risks. At last, the paper is easy for losing, and it’s very difficult to find the paper document among thousands of others. It’s practically impossible.
The majority of these troubles are possible to be avoided if to use electronic document workflow. On one PC you can store thousands of documents (basically, all organization document workflow), thus all of them can be located on one small computer.
There is no need to buy a paper or other materials-carriers. All this can be replaced by digital “material”. Finally, even if the computer breaks and valuable data are lost, they can be easy duped by the data of other computers included in a corporate network.
But, perhaps, main advantage of electronic document workflow is the possibility to supervise and operate processes of creation of documents using some buttons. That demanded hours and even days earlier. Today it is possible to do during few minutes.
